The Parts of a Link Field

Link fields look like this: <PersonalInfo.DOB>.

  • The first part, to the left of the period, is where the data is entered (e.g. PersonalInfo is information entered in Patients | Registration / Billing, Patient Information tab).
  • The second part, to the right of the period, is the data that is entered in a specific field (e.g. DOB is the patient's Date of Birth)

Link fields are added to document templates in Administration |Document Templates and are organized by document template type. For example, the link fields available in the Email Templates tab may not be the same as the link fields available in the Quote Templates tab. Some link fields are available to use in ALL template types, and some are specific. See the definition for each section below.

Important Notes

  • Some link fields have “System” in the first part, e.g., <System.Date>. These link fields do not depend on the patient in focus, but are taken from the computer's date and time, or the logged in user.
  • If the patient does not have the data described by the link field (e.g. PersonalInfo.NickName), then that place in the document will be blank. Just be careful to not use a link field in an important place (e.g. Dear <PersonalInfo.NickName in an email).
  • When adding link fields to document templates, it is important to allocate space for the data that will populate and NOT the length of the link field (e.g. <PersonalInfo.DOB> is 18 characters, but the actual DOB - 99/99/9999 only has 10 characters). Be sure you are planning space for the data NOT the link field.
